Cards can carry four kinds of metadata. FlowBoard shows them on the card and uses them for filtering and sorting.
| Metadata | Example | Used for |
|---|---|---|
| Tags | #draft, #chapter/one |
Categories, status, anything you want to filter by |
| Importance | !, !!, !!! |
Three levels of priority |
| Due date | 2026-10-15 |
Deadlines, with a warning color as the date approaches |
| Tint | Blue | Coloring cards by type at a glance |
Add metadata while typing
Section titled “Add metadata while typing”Type tags, an importance level and a due date at the end of the card’s last line, separated by spaces:
Revise the ending #revision #chapter/three !!! 2026-10-15When you save the card, FlowBoard takes them off the visible text and shows them as metadata. When you edit the card again, they reappear on its last line, where you can change or delete them.
You can also use the editor’s menu. Select the Edit card button, or right-click inside the editor, then choose FlowBoard commands… for Add tag and the importance levels.
A tag starts with #, followed by letters, digits, hyphens or underscores. Use / to build a
hierarchy, for example #status/draft and #status/final. To put spaces in a part after a
/, quote it: #character/"Anna Berg".
As you type a tag, FlowBoard suggests tags already used in the document. Use ↑ and ↓ to choose one and Enter to insert it. Escape closes the suggestions.
Tags appear as small labels on the card. Click a tag to filter the board by it. Shift-click adds it to the current filter instead. See Filter, find and sort.
Color your tags
Section titled “Color your tags”- Select Tag colors in the header.
- Turn on Enable tag colors.
- Pick a color for each tag you want to highlight.
A color set on a parent tag also applies to the tags below it. A color on status, for
example, colors status/draft too, unless you give status/draft a color of its own. Turn
on Dim uncolored tags to make the colored ones stand out.
Hide tags on cards
Section titled “Hide tags on cards”Some tags are there for FlowBoard rather than for you to read, for example the tags that describe story structure. To control which tags cards show:
- Right-click the Read View button in the header. On iPad and iPhone, touch and hold.
- On the Board tab, set Tags to All, Free or None.
Free hides tags used for story structure and Play Mode and keeps your other tags visible. A tag that is part of the current filter is always shown.
Importance
Section titled “Importance”Mark a card with !, !! or !!! at the end of its last line, or choose a level in the
editor’s FlowBoard commands… menu. The card shows the level with a color. You can change
the three colors for each board in Settings → Board Theme under Importance colors.
Due dates
Section titled “Due dates”Add a date in the form 2026-10-15, or with a time as 2026-10-15T14:30:00, at the end of
the card’s last line.
The date appears on the card in the format chosen under Settings → General → Date and time format. Its color tells you how close it is:
- Red, marked “(overdue)”: the date has passed.
- Amber: due within the next three days.
- Green: due later.
To bring overdue and upcoming cards to the top of their columns, sort the board. See Filter, find and sort.
A tint colors the whole card.
- Right-click the card. On iPad and iPhone, touch and hold.
- Under Tint, choose Red, Orange, Yellow, Green, Teal, Blue, Purple, Pink or Gray. Default removes the tint.
To tint several cards at once, select them first. See Working with several cards. Columns can have a tint too, in the column menu.
- Filter, find and sort puts your metadata to work.
- The FlowBoard file format shows how metadata is stored in the file.
