Filter, Find and Sort
On a busy board, three tools help you focus. The filter hides cards that don’t match. Find & Replace jumps to matches and can change them. Sorting brings dated and important cards to the top.
Filter the board
Section titled “Filter the board”The filter field sits above the columns. Press Cmd+F to jump into it, and start typing. Cards that don’t match are hidden. If nothing matches, the board says No cards match this filter.
The filter has two modes:
- Tags matches cards by their tags.
- Text matches cards by their text.
Switch modes with the # / T button at the left of the field. While you’re typing, ↑ also switches to tags and ↓ to text.
How matching works
Section titled “How matching works”| You type | Cards shown |
|---|---|
draft |
Cards that match draft |
draft chapter |
Cards that match both draft and chapter |
draft -final |
Cards that match draft but not final |
"opening scene" |
Cards that contain the exact phrase |
Matching ignores upper and lower case and also finds partial matches. In tag mode, draft
therefore matches #draft and #status/draft.
A quick way to filter by a tag is to click it on any card. Shift-click adds the tag to the current filter.
Leave or clear the filter
Section titled “Leave or clear the filter”- Escape returns you to the board and keeps the filter active.
- Cmd+Backspace clears the filter while the field is focused. You can also select the clear button in the field.
The filter is shared with Story Map, so switching views keeps it.
Find and replace
Section titled “Find and replace”Find & Replace searches the text and tags of the cards on the current board.
- Press Cmd+Option+F, or select the Find & Replace button in the header.
- Type what you’re looking for. The field shows which match you’re on, for example 2 of 7.
- Press Enter for the next match and Shift+Enter for the previous one.
The buttons next to the field turn on Match case, Match whole word and Use regular expression.
To replace text:
- Open the replace field with its toggle button if it isn’t showing.
- Type the replacement.
- Press Enter in the replace field to replace the current match, or Shift+Enter to replace all matches.
Replace all counts as a single change, so one Cmd+Z undoes it. This makes Find & Replace a safe way to rename a tag across a board. Press Escape to close it.
Sort cards
Section titled “Sort cards”Sorting reorders cards by date and importance:
- Overdue cards first.
- Then cards with an upcoming due date, earliest first.
- Then cards without a due date that have an importance level, highest first.
Cards with neither a due date nor an importance level keep their positions.
- Whole board: select Sort cards on this board in the header.
- One column: select the sort button in the column’s header.
To sort automatically, turn on Auto-sort on open and board switch in Settings → File & Saving. The board is then sorted whenever it opens, reloads or becomes the active board.
- Tags, importance, dates and tints explains the metadata these tools work with.
- Read View shows the board as continuous text.
